Senior Secretariat Officer (Events), Shareholder Relations

The Corporate Secretariat (SEC), under the Corporate Secretariat Vice Presidency, is mandated with upholding the integrity of the Bank’s multilateral governance by overseeing shareholder relations, membership management, facilitation of the responsiblities of the Board of Governors, and the operations of the Board of Directors, in line with relevant rules and procedures and safeguarding privileges and immunities as conferred by the Articles of Agreement.

The Senior Secretariat Officer (Events), Shareholder Relations will lead the work in delivering the annual meeting and other Board of Governors’ related engagement and events, and support flagship member and client engagement events as well as core corporate events.

Responsibilities:

  • Manage the delivery of the annual meeting and other Board of Governors’ related engagement and events, and support flagship member and client engagement events and core corporate events (e.g., New Year Reception)
  • Manage business plan, work progress, and team building, providing mentorship, guidance, and performance review of team members; and recruitment and management of staff, assistants, and individual consultants based on business needs and annual plan.
  • Provide strategic advice on planning of hosts of future annual meetings, including oversight of procedures for reviewing, assessing, and selection of members’ offers to host the annual meetings.
  • Provide overall coordination and high-level oversight on the planning and delivery of the official program of the Board of Governors, including the opening ceremony, official sessions, and business roundtable; and the public program, including seminars, business fairs, and networking activities, in collaboration with the host government and Bank departments.
  • Plan, coordinate, and supervise logistic, technical, and security arrangements in collaboration with the host government and Bank departments, integrating sustainability at scale, in collaboration with the host government.
  • Lead in the planning and execution of lead-up events, in collaboration with the host government, members, and Bank departments.
  • Supervise and manage of human capital programs in support of the annual meeting, including individual consultants, host government secondees, volunteers, interns, and internal staff volunteer program.
  • Plan, execute, and supervise the execution of the Bank’s annual New Year Reception, in collaboration with Bank departments.
  • Plan, execute, andmsupervise the execution of member engagement activities in collaboration with host governments and Bank departments.
  • Coordinate and supervise events management-related duties.
  • Coordinate the procurement of goods and services related to the annual meeting and engagement events.
  • Manage event budget and vendor payments.

Requirements:

  • Minimum 10-12 years of specialized experience in large-scale, high-level, multilateral events management, preferably in international organizations or diplomatic organizations, delivering various events with high level participants such as conferences, road shows, and meetings at a global scale,
  • Advanced degree in events management, communications, business administration, or related discipline.
  • Experience in team management, strategic planning, logistics coordination, and budget management.
  • Strong interpersonal and organizational abilities.
  • Excellent cross-cultural communication and diplomatic skills.
  • Able to work independently, take ownership of responsibilities, and thrive on bringing creativity and new thinking to the job.
  • Able to multitask and meet deadlines.
  • Excellent oral and written communication skills in English.
