AIIB’s Investment Operations (IO) are composed of two Chief Investment Officers and one Vice Presidency, i.e., Chief Investment Officer, Public Sector Region 1 & Financial Institutions and Funds, Global (CIO1), Chief Investment Officer, Public Sector Region 2 & Project and Corporate Finance, Global (CIO2), and Investment Solutions, Vice President (VPIS).
CIO2 oversees AIIB’s investment operations with public sector clients in Pakistan, Afghanistan, Central Asia, East Asia, West Asia, Europe, North Africa and the America; and project and corporate finance clients focusing on private infrastructure and other productive sectors in all AIIB Members. In addition to CIO2, CIO2 office is comprised of one Project Quality Advisor, one Editor and one Business Management Officer.
CIO2 is looking for an Executive Assistant who will provide a full range of administrative and business support to the CIO2, ensuring CIO2’s day-to-day operations run smoothly, including managing schedules, coordinating meetings and travel, preparing documents, and facilitating internal and external communications. The Executive Assistant will also provide administrative support to other staff in CIO2 office when needed.
Responsibilities:
- Perform complex and confidential administrative responsibilities.
- Manage the CIO2’s schedules and provide logistical support to ensure appropriate meeting, travel, accommodation and event arrangements are made
- Serve as the first point of contact for CIO2 Office/department; liaise with internal and external contacts and determine priorities for incoming queries and requests while ensuring all queries and requests are addressed in a timely manner.
- Ensure effective prioritization and resolution of competing demands while meeting operational needs. Oversee and monitor the project information flow by screening, sorting, analyzing and identifying areas that need to be acted upon.
- Establish, maintain and ensure the timely update of the correspondence & document filing systems and contact database (both hard and soft copies), while ensuring that all activities supported are traceable and accessible as required.
- Liaise with internal departments for daily administrative tasks including but not limited to office maintenance; ordering office supplies; setting up conference services; preparing expense claims and vendor payments; manage vendors and consultants in the system; and other tasks as needed.
- Help organize departmental retreats and provide logistic support to team activities and other departmental initiatives
- Any other tasks that may be assigned from time to time by the CIO2.
Requirements:
- Minimum five years of relevant experience in a large international/financial institution; multilateral development bank(s) experience would be an advantage.
- Self-motivated, service-oriented and detail-attentive; A high level of personal integrity, a sense of accountability and strong ownership; ability to work under pressure with tight deadlines.
- Proactivity, common sense and logic, excellent multi-tasking skills and stress resilience abilities are highly expected.
- Excellent interpersonal, diplomatic and organizational skills as well as the ability to juggle multiple priorities.
- Proficiency in verbal/written English and Chinese. A good command in one of the languages from the members under CIO2 coverage is an advantage.
- Proven experience with MS Office Applications is a must.
- Bachelor’s degree or above in a relevant field (economics, finance, legal, public policy, business administration, international affairs, etc.) from a reputable university
